Appendix B: Communication & Challenge Policy

    This appendix outlines the official communication channels and procedures for raising queries, submitting challenges, and receiving formal responses from TNV-LEI.

    1. Objective

    To ensure timely, structured, and verifiable communication regarding:

    • General queries or service requests
    • Challenges to LEI or LE-RD data
    • Notifications from Legal Entities and third parties

    2. Communication Channels

    3. Who May Submit a Challenge

    Any individual or organization (including the Legal Entity itself, regulators, business partners, or third parties) may submit a challenge if they identify incorrect or outdated data in the LE-RD of a published LEI.

    4. Challenge Submission Requirements

    All challenge submissions must include:

    • The LEI code or name of the Legal Entity being challenged
    • The specific data field(s) being disputed (e.g., legal name, address, relationship)
    • Supporting evidence such as government registry records, official filings, or legal documents
    • A valid email address for communication

    5. Processing Timeline

    • Acknowledgment: Within 1 business day of receipt
    • Evaluation and Response: Within 10 business days, unless the challenge is complex or requires external clarification
    • Status Update: Provided if additional time is needed due to validation or Legal Entity response

    6. Outcomes

    • If a challenge is found to be valid:

      • TNV-LEI will update the LE-RD and inform both the Legal Entity and challenger
      • A history of the change will be preserved as per GLEIF requirements
    • If the challenge is not upheld:

      • TNV-LEI will provide a reasoned response and may suggest escalation to GLEIF, if applicable

    7. Documentation and Retention

    All challenge-related communication, decisions, and supporting evidence will be:

    • Stored securely
    • Retained for a minimum of 8 years for audit and compliance purposes
